Trendi Marketing · Practical planning guide
A Houston medical practice can receive more inquiries without filling the appointments it actually wants to grow. Before increasing a marketing budget, separate the source of an inquiry, the service requested, the facility that can provide it, and the outcome. Those four details make the performance conversation more useful.
1. Start with one service at one facility.
Choose a service with confirmed appointment capacity and a team that can respond. Record which facility provides it, who can schedule it, the hours when inquiries are answered, and the criteria that make a request relevant. For a practice serving Houston and surrounding communities, do not assume every facility offers the same services.
For example, a hypothetical practice might receive requests through a Houston service page but schedule some at a Katy facility. The landing page and the destination facility are different reporting fields. Keep both rather than crediting every inquiry to the page’s city name.
2. Agree on the stages before comparing costs.
- Inquiry: a unique call or form requesting information.
- Relevant inquiry: a request for a service the practice provides, after excluding spam, duplicates, and unrelated requests.
- Scheduled appointment: a confirmed booking, not merely an attempt to reach the office.
- Completed appointment: a visit that occurred, based on the practice’s records.
Agree on how cancellations, reschedules, and repeat callers are handled. Otherwise, a campaign can appear to improve because the counting method changed. Keep the definitions visible in the report and use the same time period for the numerator and denominator.
3. Use a worked example without treating it as a forecast.
Illustrative example only: a campaign records 120 unique inquiries, 75 relevant inquiries, 45 scheduled appointments, and 36 completed appointments. The relevant-inquiry rate is 75 ÷ 120 = 62.5%. The booking rate among relevant inquiries is 45 ÷ 75 = 60%. The completion rate among scheduled appointments is 36 ÷ 45 = 80%. These are invented inputs, not Trendi client results or Houston benchmarks.
If the defined campaign spending were $9,000, dividing by 36 would give $250 per completed appointment. That cost is not ROI. A return calculation also needs an appropriate revenue or contribution measure, a consistent attribution method, and a time window that reflects when outcomes occur. Use your finance team’s figures rather than assuming each appointment has the same value.
4. Diagnose the stage that limits growth.
- Many unrelated inquiries: review targeting, service wording, and exclusions.
- Relevant inquiries but few bookings: review response time, availability, and follow-up.
- Bookings but low completion: review reminders, scheduling expectations, and access information.
- Good conversion but limited volume: investigate whether additional relevant demand can be reached economically.
A practice may need operational improvements before more advertising. Conversely, a service with capacity and a reliable inquiry process may be ready for a broader content or search campaign. The stage data helps distinguish those situations.
5. Give each service and location a useful role online.
A service page should explain the offering. A facility page should identify the services actually available there and how to make contact. Supporting content can answer preparation and scheduling questions approved by your team. Our Houston SEO page explains how those pieces fit into a local campaign.
If your practice operates in Houston, Sugar Land, or The Woodlands, add location content only when it gives a customer meaningful information about the real service experience. Regional expansion should not turn into repeated pages with a different city name.
Build the first reporting worksheet.
For each priority service, record the reporting period, landing page, requested facility, unique inquiries, relevant inquiries, bookings, completed appointments, and included marketing costs. Use aggregated reporting for agency reviews; keep patient-level information in the practice’s appropriate systems.
